Templates and live data
Choose a reusable portal layout and expose canonical Workestra records without copying them.
Template gallery
Open Portals → Templates to manage reusable composition presets. Workestra provides seven starters:
- Client delivery
- Customer self-service
- Vendor collaboration
- Member hub
- Case or project workspace
- Onboarding hub
- Blank portal
You can clone a system template, make a template the workspace default, save an existing portal's composition as a template, or delete a non-default custom template. Record selections are never copied into a template.
Select Preview example on any template to open a realistic customer-facing mockup before creating a portal. The example includes fictional projects, quotations, invoices, meetings, support requests, and other cards according to that template's sections. Example data is clearly labelled and never reads or changes workspace records.
For side-by-side evaluation, select Open public gallery. The gallery opens in a new browser tab at workestra.app/product/portals/gallery and presents all seven starters on one page. It is public and can be shared with colleagues, clients, or prospective customers without granting workspace access.
The same preview is available as Preview selected template while creating a new portal.
Choose the canonical party
On the portal's Settings tab, select its CRM company and primary contact. Live sharing rules use these identities to resolve current source records. Changing the CRM record changes future portal resolution; Portals does not create a synchronized client copy.
Content & data
Each source-capable section offers two modes:

| Live party data | Resolve current records for the canonical company/contact using externally safe statuses. |
You can configure portal roles for each source policy and remove an explicitly shared record at any time. Supported areas include Projects, quotations, invoices, contracts, subscriptions, tickets, knowledge documents, and meetings.
Live rules are best for read-only current-state views. Mutating or download actions currently require an explicit role-visible record selection.
Preview and publish
Select Preview beside any portal on the Portals overview, or Preview portal in its editor. Secure preview renders its current branding and role-visible composition with clearly labelled fictional example data. Switch between viewer, contributor, approver, billing, and portal-admin roles and desktop, tablet, or mobile widths.
The publication-readiness panel blocks publishing when access, composition, selected records, a required canonical party, or a renderer is incomplete.
