Email Signatures

Create professional email signatures with the visual builder. Auto-fills your profile data, supports multiple layouts, social links, and photos.

Email Signatures

Workestra lets you create professional email signatures that are automatically appended to every email you send from the platform — whether from CRM contacts, deals, recruiting, or support.

Accessing Email Signatures

  1. Click Settings in the sidebar
  2. Select Signatures under the Email section
  3. Or navigate to /settings/email-signatures directly

Creating a Signature

Click New Signature to open the signature builder.

Auto-Fill

When creating your first signature, the builder pre-fills your details from:

  • Your profile — full name, job title, phone number, avatar
  • Your workspace — company name, website, logo, address

You can override any auto-filled value.

Personal Info Fields

Fill in the fields you want to appear in your signature. All fields are optional — only filled fields are rendered.

Upload a personal photo and/or your company logo:

  • Photo — displayed as a circular avatar (max 2MB, JPG/PNG)
  • Company Logo — displayed as a square image (max 2MB, JPG/PNG)

Both are optional. Whether they appear depends on the layout you choose.

Add links to your professional profiles. Supported platforms:

  • LinkedIn
  • X (Twitter)
  • Facebook
  • Instagram
  • GitHub

Click Add Link, select the platform, paste your profile URL. You can add up to 5 links. Social links appear as clickable text labels in the signature for maximum email client compatibility.

Layout Templates

Choose from 4 professionally designed layouts:

ModernColored accent bar on the left side, info stacked vertically. Contemporary look.

Click a layout card to select it. The live preview updates immediately.

Styling

Customize the look of your signature:

  • Accent Color — pick from 7 presets (blue, green, amber, red, purple, gray, black) or use a custom color via the color picker
  • Font — choose between Arial (default), Georgia (serif), or System font

Live Preview

The right panel shows a real-time preview of your signature as it will appear in emails. The preview renders on a white background to simulate how recipients will see it in their inbox.

Managing Signatures

Multiple Signatures

You can create multiple signatures for different contexts (e.g. "Work", "Personal", "Support"). When composing an email, you can switch between them via the signature selector.

Default Signature

Mark a signature as Default to have it automatically applied when you compose a new email. You can change the default at any time:

  • Check Default when creating/editing a signature
  • Or click Set Default on any signature card

Editing

Click Edit on any signature card to reopen the builder with all your saved fields, layout, and style options.

Deleting

Click the trash icon on any signature card. You'll be asked to confirm before deletion.

How Signatures Work in Emails

When you compose an email (from CRM contacts, deals, recruiting, or support), your default signature is automatically appended below the message body.

You can:

  • Switch signatures using the signature selector in the compose toolbar
  • Remove the signature by selecting "No signature"
  • Change the default in signature settings

The signature is rendered as HTML in the email body, using inline CSS for compatibility with all major email clients (Gmail, Outlook, Apple Mail, Yahoo).

Tips

  • Keep it concise — include only the most relevant contact information
  • Use a professional photo — a clear headshot works best at 64x64px
  • Test your signature — send a test email to yourself to see how it renders
  • Update when things change — if you change roles or phone numbers, update your signature to match
