Billing & Subscription

Manage your Workestra subscription, payment methods, and billing history.

Billing access is restricted to the Owner role. Admins and Members cannot view or modify billing settings.

Current Plan

Your Current Plan section shows:

Module Subscriptions

Some modules require separate subscriptions:

Enabling Module Add-ons

  1. Go to Settings > Billing
  2. Click Manage Modules
  3. Toggle the modules you want to add
  4. Review the price change
  5. Confirm to activate

Module charges are prorated for the remainder of your billing cycle. You'll see the full charge on your next invoice.

Upgrade Your Plan

Upgrading

  1. Navigate to Settings > Billing
  2. Click Upgrade Plan
  3. Select your new plan
  4. Review features and pricing
  5. Enter payment details if needed
  6. Confirm the upgrade

What happens:

  • Immediate access to new features
  • Prorated charge for the remainder of the cycle
  • Next invoice shows the full new amount

Downgrading

  1. Go to Settings > Billing
  2. Click Change Plan
  3. Select a lower-tier plan
  4. Review feature restrictions
  5. Confirm the change

What happens:

  • Takes effect at the next billing cycle
  • You keep current features until then
  • If over user limit, you'll need to remove users first

Downgrading may result in data loss if you exceed the new plan's limits (users, storage, modules). Review carefully before confirming.

Payment Methods

Adding a Payment Method

  1. Go to Settings > Billing
  2. Click Payment Methods
  3. Click Add Payment Method
  4. Enter card details or connect bank account
  5. Save

Default Payment Method

  • The first added card becomes the default
  • To change: click Make Default on another method
  • Failed payments retry using backup methods if available

Invoice History

View and download all past invoices:

  1. Navigate to Settings > Billing
  2. Scroll to Invoice History
  3. Click any invoice to view details
  4. Click Download PDF for your records

Invoice Details

Each invoice includes:

  • Invoice number and date
  • Billing period
  • Line items (subscription, add-ons, prorations)
  • Tax breakdown (if applicable)
  • Payment status

Exporting Invoices

For accounting purposes:

  1. Select invoices using checkboxes
  2. Click Export CSV for spreadsheet import
  3. Or Download All as a ZIP of PDFs

Usage Tracking

Monitor your workspace usage against plan limits:

Usage Alerts

Set up alerts for approaching limits:

  1. Go to Settings > Billing > Usage Alerts
  2. Set thresholds (e.g., 80% of user limit)
  3. Choose notification method (email, in-app)
  4. Save

Tax Information

Viewing Tax

Tax appears on invoices when applicable:

  • US: Sales tax based on billing address
  • EU: VAT based on country (reverse charge for VAT-registered businesses)
  • Other: Based on local regulations

Tax Exemption

If you're tax-exempt:

  1. Go to Settings > Billing
  2. Click Tax Settings
  3. Upload your tax exemption certificate
  4. Submit for review (1-2 business days)

Cancelling Your Subscription

How to Cancel

  1. Navigate to Settings > Billing
  2. Scroll to Danger Zone
  3. Click Cancel Subscription
  4. Complete the exit survey
  5. Confirm cancellation

Export your data before the end of your billing period. After cancellation, you have 30 days to reactivate before data is permanently deleted.

Reactivating

To reactivate within 30 days:

  1. Sign in to your workspace
  2. You'll see a reactivation prompt
  3. Update payment method if needed
  4. Confirm reactivation
  5. Full access restored immediately
