Inbox

The Inbox is your centralized communication hub. It aggregates notifications from all modules and connects with your email accounts to give you a unified view of everything requiring your attention.

Understanding the 3-Pane Layout

The Inbox uses a three-panel layout for efficient message management:

Pane 1: Sidebar Navigation (Left)

The left sidebar contains filters and account management:

The unread count badge shows the total number of unread items across all filters.

Pane 2: Message List (Center)

The middle panel displays your messages in a scrollable list:

  • Sender name — Who the message is from
  • Subject — Message title or preview
  • Preview — First line of the content
  • Timestamp — When the message was received
  • Unread indicator — Blue dot for unread items

Click any message to view its full content in the detail panel.

Pane 3: Message Detail (Right)

The right panel shows the full content of the selected message:

  • Full message body
  • Attachments (if any)
  • Action buttons (Reply, Archive, Delete)
  • Related records or context

Connecting Email Accounts

Connect your Gmail or Outlook accounts to send and receive emails directly in Workestra.

Connect Gmail

  1. Click Connect Account in the Inbox header
  2. Select Gmail
  3. Complete the OAuth flow with Google
  4. Grant requested permissions (read, send, modify emails)
  5. Your Gmail inbox appears as a synced folder

Connect Outlook / Microsoft 365

  1. Click Connect Account
  2. Select Outlook
  3. Sign in with your Microsoft account
  4. Grant permissions for email access
  5. Your Outlook inbox syncs automatically

You can connect multiple email accounts (e.g., personal Gmail + work Outlook) and manage them all from one Inbox.

Permissions Explained

Workestra requests these email permissions:

Your emails are never shared with third parties or used for training AI models.

Filtering Messages

Use the sidebar filters to focus on specific message types:

By Status

  • All — Every message in your inbox
  • Unread — Only unread items (great for catch-up)
  • Read — Messages you've already viewed

By Source

When you have connected email accounts, you can filter by:

  • All Accounts — Messages from all sources
  • Gmail — Only Gmail messages
  • Outlook — Only Outlook messages
  • Notifications — Only Workestra system notifications

Use the search bar at the top to find specific messages:

  • Searches subject and message body
  • Results update as you type
  • Press Enter to clear search

Reading and Acting on Messages

Message Actions

When viewing a message, you have several options:

Bulk Actions

Select multiple messages to perform actions on all of them:

  1. Hold Cmd (Mac) or Ctrl (Windows) and click messages
  2. Or use Cmd+A to select all visible messages
  3. Choose an action from the toolbar that appears

Notification Types

The Inbox receives different types of notifications:

Module Notifications

Generated by activity in Workestra modules:

System Notifications

Important workspace-level updates:

  • New team member joined
  • Module enabled/disabled
  • Security alerts (new login, password changed)
  • Billing notifications

Email Messages

Emails from your connected accounts:

  • External emails synced from Gmail/Outlook
  • Emails sent from Workestra
  • Email replies tracked in threads

Workestra automatically links emails to contacts, deals, and tickets when possible, showing related context in the message detail.

Managing Connected Accounts

View Connected Accounts

Connected accounts appear in the sidebar under Accounts. Each shows:

  • Email address
  • Connection status (green = active, red = error)
  • Last sync time

Reconnect an Account

If an account shows an error:

  1. Click the ⚠️ icon next to the account
  2. Follow the reconnection flow
  3. Re-authenticate with your email provider

Disconnect an Account

  1. Hover over the account in the sidebar
  2. Click the × icon
  3. Confirm disconnection

Disconnecting an account stops email sync. Previously synced emails remain in Workestra, but new emails won't appear.

Email Threading

Messages are automatically threaded by conversation:

  • Replies are grouped with the original message
  • Thread view shows the full conversation history
  • New replies bump the thread to the top of your inbox

Keyboard Shortcuts

Navigate the Inbox efficiently with keyboard shortcuts:

Mobile Inbox

On mobile devices, the Inbox adapts to a single-pane view:

  1. Message list appears first
  2. Tap a message to view details
  3. Swipe left to archive, right to mark as read
  4. Use the bottom tab bar to switch filters
