Warehouses
Set up warehouses and storage locations for accurate multi-location inventory tracking.
Warehouses represent physical storage locations. Each warehouse maintains its own stock levels, and transfers between warehouses are tracked as movements with a visible in-transit state.
Creating a Warehouse
Navigate to Stock > Warehouses > New Warehouse.
| Field | Description |
|---|---|
| Name | Full warehouse name (e.g., "London Main Warehouse") |
| Code | Short identifier used in references (e.g., LDN-01) |
| Address | Physical address of the warehouse |
| Default Valuation | FIFO, AVCO, or Standard (overrides workspace default for this location) |
| Type | Physical, Virtual, or Production |
| Notes | Internal notes for the team |
Warehouse Types
| Type | Description |
|---|---|
| Physical | An actual storage location where goods are kept |
| Virtual | Used for tracking without a physical space — in-transit, quality control, damaged goods |
| Production | Goods consumed or produced in manufacturing processes |
Virtual warehouses are particularly useful for tracking goods in states that don't belong to a physical shelf — for example, an In Transit virtual warehouse that holds stock between a transfer's departure and arrival, or a Damaged Goods warehouse for units that are out of service.
Stock Levels per Warehouse
Each product's stock level is tracked independently per warehouse. The consolidated view at Stock > Products shows totals across all warehouses, with a per-warehouse breakdown accessible by clicking any product row.
Transfers Between Warehouses
Navigate to Stock > Transfers > New Transfer:
- Select the source warehouse
- Select the destination warehouse
- Add products and quantities
- Confirm — the transfer moves through states:
| State | Description |
|---|---|
| Draft | Being prepared |
| In Transit | Departed from source, not yet received at destination |
| Received | Confirmed at destination warehouse |
During the In Transit state, the quantity is visible on both warehouses (deducted from source, shown as incoming at destination), giving you an accurate picture of your full inventory position at any moment.
Default Warehouse
Set the default warehouse in Stock Settings. The default warehouse is pre-selected on:
- New purchase order receipts
- Sales order dispatches
- New stock adjustments
Common Virtual Warehouse Patterns
Create a virtual Damaged Goods warehouse to track items that are out of service without deleting them from inventory. Move damaged items there using a transfer — they remain counted in total inventory but are excluded from the available quantity at your active warehouses.
Other useful virtual warehouses:
- Quality Control — Items received but not yet quality-checked
- In Transit — Goods between your warehouses during inter-warehouse transfers
- Returns — Customer returns awaiting inspection and re-stocking
