Stock Settings
Configure valuation method, default warehouse, Finance integration, and reorder run schedule.
Navigate to Stock > Settings to configure the module for your organization.
Changing the valuation method affects future movements only. Historical movement costs are preserved at their original values. Consult your accountant before switching valuation methods.
Default Valuation Method
Choose how inventory cost is calculated across the workspace:
| Method | Description |
|---|---|
| FIFO | First In, First Out — cost based on the oldest purchase price in stock |
| AVCO | Average Cost — weighted average of all purchase prices currently in stock |
| Standard Cost | Fixed cost per unit set on the product record |
Individual products can override the workspace default. Set the override on the product record under the Stock tab.
Default Warehouse
The warehouse pre-selected on new purchase order receipts, sales order dispatches, and manual adjustments. Select from your configured warehouses.
Finance Integration
| Setting | Description |
|---|---|
| Inventory Asset GL account | Receives valuation journal entries for all stock movements (typically an Inventory or Current Asset account) |
| Adjustment Write-Off GL account | Receives journal entries for stock adjustment losses (typically a Cost of Goods Sold or Inventory Write-Off account) |
Finance posts automatic journal entries for every movement — no manual posting required once these accounts are configured.
Reorder Rule Schedule
- Daily run time — The hour at which the reorder check runs each day (select from available cron slots)
- Run Now — Trigger the reorder check immediately without waiting for the scheduled run
When the check runs, it creates draft POs in Procurement for any product-warehouse combination where current stock (on hand minus reserved) is at or below the reorder point.
Cycle Count Settings
- Auto-approval tolerance — Discrepancies within this percentage are automatically approved and posted as adjustments
- Flag for review threshold — Discrepancies above this percentage are held for a reviewer
- Suggested frequency — Monthly or quarterly reminder to schedule counts (informational only)
Barcode Settings
| Format | Use Case |
|---|---|
| EAN-13 | Standard retail barcode |
| UPC-A | North American retail standard |
| Code 128 | Alphanumeric, compact — good for internal SKUs |
| QR Code | Encodes warehouse + product + lot for efficient multi-field scanning |
QR codes generated by Workestra include warehouse code, product reference, and lot number — a single scan can fill all three fields on a receipt or dispatch form.
Low Stock Notifications
- Enable alerts — Send notifications when any product at any warehouse drops below its reorder point
- Notification channels — In-app, email, or both
- Recipients — Configure which users or roles receive low stock alerts
