Vendors
Manage your supplier directory with payment terms, bank details, and contact history.
Vendors are your supplier records. Every purchase order and vendor bill links to a vendor record, so your spending history, payment terms, and contact details are always in one place.
Creating a Vendor
Navigate to Procurement > Vendors > New Vendor.
Required:
- Vendor name
- Currency
Optional:
- Company registration number
- VAT number
- Payment terms (Net 30, Net 60, etc.)
- Bank details (IBAN/account number, BIC/SWIFT)
- Primary contact name, email, and phone
- Address
Vendor Properties

Vendor Detail Page
Each vendor record is organized into sections:
- Profile header — Name, code, status, and primary contact
- Contact information — Email, phone, address, and website
- Bank details — IBAN, BIC/SWIFT, and account holder name
- Payment terms — Default terms and any negotiated exceptions
- Purchase history — All POs and bills linked to this vendor with total spend
- Performance scorecard — Delivery reliability and payment metrics
- Documents — Attachments such as contracts, certificates, and signed agreements
Vendor Performance Scorecard
The scorecard aggregates data from two sources:
- Stock receipts — On-time delivery rate and quality issues logged on receipts
- Finance — Average days to pay (actual vs. agreed payment terms)
The scorecard is displayed on the vendor record and as a column in the Vendors list, making it easy to compare suppliers.
Merging Duplicate Vendors
If duplicate vendor records exist:
- Open one of the duplicates
- Click Actions > Merge
- Select the target (surviving) record
- Confirm — all POs and bills re-point to the surviving record
The audit trail for every PO and bill is preserved after the merge.
Incomplete bank details block payment batch exports. Complete IBAN and BIC on every vendor you intend to pay electronically before running your first payment batch.
