Sales Settings
Configure pipeline stages, discount thresholds, e-signature, and quotation defaults.
Sales Settings control how quotations are numbered, which pipeline stages exist, when discounts require approval, and how e-signature links behave. Settings are accessible to workspace admins and users with the Sales Admin role.
Navigate to Sales > Settings or Settings > Modules > Sales.
General

| Default Valid Until (days) | Number of days before a quotation expires; pre-fills the Valid Until field |
| Default PDF Template | Which template is selected by default when creating a quotation |
Quotation Numbering
Configure how quotation reference numbers are generated:
- Prefix — text prepended to every number (e.g.,
QUproducesQU-0001) - Starting Number — the first number in the sequence
- Padding — how many digits to zero-pad (e.g., padding 4 gives
0001)
Example: prefix QU, starting number 1, padding 4 → QU-0001, QU-0002, …
Pipeline Stages
Add, rename, reorder, and color-code the stages of the Sales pipeline.

| Add a stage | Click Add Stage, enter a name and color |
| Rename a stage | Click the stage name inline |
| Reorder | Drag stages up or down |
| Set as Won / Lost | Toggle the Won or Lost flag — affects analytics |
| Auto-update CRM deal | Enable Sync to CRM Deal on the Won/Lost stages to move the linked CRM deal automatically |
Deleting a stage moves all deals in that stage to the preceding stage. You cannot delete the last Won or Lost stage.
Discount Approvals
Control when a quotation or order form requires manager sign-off before it can be sent.

| Enable Discount Approvals | Toggle on/off workspace-wide |
| Percentage Threshold | Any line item discount above this % triggers approval (e.g., 20) |
| Amount Threshold | Any total discount above this value triggers approval (e.g., €500) |
| Approvers | Assign by role (e.g., Sales Manager) or specific users |
Both thresholds are evaluated — if either is exceeded, approval is required. Leave a threshold blank to ignore it.
E-Signature

| Require Authentication | Require recipients to verify their email before signing |
| Signature Link Expiry | Number of days before a signature link expires (default: 30) |
Product Catalog
The product catalog used in quotation line items is shared with Finance. To add or edit products, go to Finance > Settings > Products. Changes appear immediately in Sales.
Sales Settings are accessible to workspace admins and users with the Sales Admin role.
