Planning Settings
Configure roles, rates, pipeline integration, and utilization targets.
Access Planning Settings at Planning > Settings or via Settings > Modules > Planning > Configure. These settings control how capacity is calculated, how the schedule board is displayed, and how Planning connects to CRM and Finance.
Rates in Planning are for internal planning and profitability purposes only. Finance invoices use the rates configured in Finance > Products — these are two separate rate tables.
Roles
Define the billable roles used in Planning (e.g., "Senior Developer", "UX Designer", "Project Manager"). Roles are used for:
- Placeholder allocations — Allocate a role before the hire is confirmed
- Rate calculations — Attach a default hourly rate to each role for profitability
- Filtering — Filter the schedule board by role to find capacity
Each role has:

Hourly Rates
Set rates at two levels:
- Blended rate — A single workspace-wide rate applied to all roles without a specific rate
- Role-specific rate — Overrides the blended rate for that role
Rates can also be overridden per allocation — useful when a person's rate on a specific client project differs from their standard rate.
Utilization Targets
Set the target utilization percentage used to color-code the schedule board:

These can be set workspace-wide or per role. For example, you might set a lower target for senior staff who need buffer time for mentoring and non-project work.
Pipeline Integration
Configure how CRM deals flow into Planning as resource requests:
- Trigger stage — The CRM pipeline stage that creates a draft resource request (e.g., "Closed Won" or "Proposal Sent")
- Default hours estimate — A fallback hour budget for new resource requests when the deal has no estimate attached
- Auto-approve — Whether resource requests from the pipeline are automatically approved or require manual review

Default Working Pattern
The fallback working pattern used for capacity calculations when an employee in People does not have a custom pattern set:

Changes here take effect immediately and recalculate capacity for all employees using the default pattern.

Showing capacity in days can be more intuitive for teams that think in person-days rather than hours. Both modes use the working hours per day setting to convert.
