Time Off
Manage time-off requests, balances, and approval workflows.
The Time Off section manages employee leave: requesting time off, running approval workflows, tracking balances, and surfacing availability on the team calendar. All leave activity flows from the policies you define in People Settings.
Time-Off Policies
Admins create policies in People > Settings > Time-Off Policies. Each policy defines:
- Leave type — Vacation, sick, parental, bereavement, or custom
- Accrual method — Manual balance, annual allowance, or accrual per month
- Allowance — Days or hours per year
- Carryover rules — Maximum days that roll to the next year
- Approval required — Whether requests need manager sign-off
- Visible to others — Whether approved leave appears on the shared team calendar
Multiple policies can share the same leave type with different rules per department or employment type.
Requesting Time Off
- Go to People > Time Off > New Request
- Select the leave type (filters to policies available for this employee)
- Choose the date range
- Add an optional note for the approver
- Submit — the request is sent to the approver(s) defined in the policy
Employees can also submit requests directly from their employee profile under the Time Off tab.

Approval Workflow
Approvers (the employee's manager or a designated user) receive an in-app notification and email when a request is submitted. They can:
- Approve — Request is confirmed and added to the calendar
- Decline — Request is rejected; the employee is notified with the comment
Multi-level approval is supported: configure a policy to require manager approval first, then HR approval. The request moves through each level in sequence.
Time-Off Request Statuses
| Status | Meaning |

| Pending | Awaiting approval from the next approver in the chain |
| Approved | Fully approved and added to the team calendar |
| Declined | Rejected; the rejection comment is visible to the employee |
| Cancelled | Withdrawn by the employee before or after approval |
Team Calendar
Approved time off appears on the shared team calendar (visible in Planning > Schedule and People > Time Off calendar view). This gives managers a real-time picture of who is away before making new allocations.
Employees on leave are automatically marked as unavailable in Planning's capacity calculations — no manual adjustment needed.
Approved leave is surfaced in the team calendar and Planning's capacity view automatically.
Balance Tracking
Each employee's current balance per policy is shown:
- On their employee record (Time Off tab)
- In People > Time Off > My Balance (employee self-service)
Balances update automatically when a request is approved. Accrual-based balances increment on the schedule defined in the policy (monthly, on hire anniversary, or at fiscal year start).
Connect People time off to Planning so resource availability is automatically reduced during approved leave — no double-entry required.
