Entity AI

Entity AI brings artificial intelligence directly to your records. When viewing a contact, deal, ticket, or candidate, AI provides summaries, suggestions, and related insights to help you work smarter.

Where Entity AI Appears

Entity AI panels appear on detail pages for:

  • Contacts — Customer insights, interaction history
  • Deals — Pipeline analysis, next steps
  • Tickets — Support context, resolution suggestions
  • Candidates — Profile summary, hiring recommendations
  • Companies — Account overview, opportunity analysis

AI Summary Section

The AI Summary provides an auto-generated overview of the record.

How It Works

  1. AI analyzes all data associated with the record
  2. Generates a natural language summary
  3. Updates automatically when data changes
  4. Cached for 24 hours for performance

Example Summaries

Contact Summary:

"John Smith is a key decision maker at Acme Corp. Last contact was 3 days ago via email. Currently evaluating our Enterprise plan. Has attended 2 demos and opened 5 marketing emails."

Deal Summary:

"The Acme Enterprise deal has been in Proposal for 12 days. Value: $50,000 ARR. Two stakeholders engaged. Risk: No activity in 5 days. Recommended action: Schedule follow-up call."

Ticket Summary:

"Support ticket #1234 regarding login issues. Customer has tried standard troubleshooting. Affects 3 users in their organization. Escalation recommended if not resolved in 24 hours."

Refreshing the Summary

To regenerate the summary:

  1. Look for the refresh icon in the AI panel
  2. Click to trigger a fresh analysis
  3. New summary appears within seconds

Summaries are cached for 24 hours to balance freshness and performance. Refresh manually if you need the latest analysis.

Suggested Actions

Based on the record's status and history, AI suggests next steps.

Contact Suggestions

  • "Schedule a check-in call"
  • "Send follow-up email"
  • "Add to nurture campaign"
  • "Update contact information"

Deal Suggestions

  • "Move to next stage"
  • "Schedule demo"
  • "Add stakeholder"
  • "Create proposal"
  • "Set reminder for follow-up"

Ticket Suggestions

  • "Escalate to engineering"
  • "Send resolution summary"
  • "Request more information"
  • "Close as resolved"

Candidate Suggestions

  • "Schedule interview"
  • "Request references"
  • "Move to next pipeline stage"
  • "Send rejection email"

Using Suggested Actions

  1. Review the AI's suggestions
  2. Click a suggestion to take action
  3. The appropriate dialog or form opens
  4. Data may be pre-filled based on context

Suggested actions are based on patterns from successful outcomes. They're recommendations, not requirements — use your judgment.

Similar Records

AI identifies records similar to the one you're viewing.

How Similarity Is Calculated

The AI considers:

  • Metadata — Industry, size, location
  • Behavior — Interaction patterns, engagement
  • Status — Stage, priority, category
  • Relationships — Shared connections, activities

Click any similar record to:

AI surfaces relevant documentation based on the record context.

How Matching Works

  • Analyzes record content and metadata
  • Searches Knowledge Base for related topics
  • Ranks by semantic similarity
  • Shows top 3-5 matches

Ask AI Button

Every entity AI panel includes an Ask AI button for follow-up questions.

Context Awareness

The AI knows which record you're viewing, so you can ask contextual questions without specifying the record name.

Privacy and Data Usage

How Entity AI Uses Data

  • Analyzes data you have permission to view
  • Does not access data from other workspaces
  • Does not use data for model training
  • Respects team and project scoping

Opting Out

If you prefer not to see AI summaries:

  1. Go to Settings > AI Configuration
  2. Toggle off Proactive Suggestions
  3. Entity AI panels will be hidden
